Job Description

Our client, a growing Houston area law firm, has a great opportunity available for an experienced Legal Assistant/Legal Secretary to join their team. This role requires 2 or more years of experience as a Legal Secretary supporting litigation attorneys. The Legal Assistant provides administrative and clerical support to attorneys and legal teams to ensure efficient operation of the legal office. This role involves managing schedules, preparing legal documents, handling correspondence, and maintaining confidential files.

Key Responsibilities:

  • Prepare and format legal documents such as contracts, briefs, pleadings, summonses, subpoenas, and appeals.
  • Draft correspondence, memos, and other documents as directed by attorneys.
  • Manage attorney calendars, including scheduling meetings, hearings, and court dates.
  • File documents with courts electronically, adhering to local rules and deadlines.
  • Maintain and organize physical and electronic filing systems.
  • Answer and direct phone calls, take messages, and handle inquiries from clients, courts, and other legal professionals.
  • Perform legal research under attorney supervision, including locating and compiling case materials.
  • Process incoming and outgoing mail and manage document delivery.
  • Handle billing and timekeeping tasks, including preparing client invoices.
  • Maintain confidentiality and protect client information in accordance with legal requirements.

Qualifications:

  • High school diploma or equivalent required; associate’s degree or certification in legal studies preferred.
  • 2+ years of experience as a legal secretary or administrative assistant in a legal setting.
  • Proficient in Microsoft Office Suite and document management software (i.e. Imanage or NetDocuments).
  • Strong typing skills.
  • Knowledge of legal terminology, court filing procedures, and document formatting.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Attention to detail and a high level of accuracy.

Work Environment:

  • Office-based setting; may involve sitting for long periods.
  • Fast-paced, deadline-driven environment.
  • May require occasional overtime to meet filing or court deadlines.
